Job responsibilities: - Provide administrative support to ensure efficient operation of the office. - Manage and coordinate schedules, meetings, and appointments for senior management. - Prepare and edit correspondence, reports, presentations, and other documents as needed. - Maintain and organize office records, files, and databases to ensure accuracy and accessibility. - Handle incoming and outgoing communications, including emails, phone calls, and mail. - Coordinate travel arrangements, including booking flights, accommodations, and itineraries. - Monitor and manage office supplies inventory and place orders as necessary. - Assist in the preparation and execution of company events, meetings, and conferences. - Ensure compliance with company policies and procedures in all administrative tasks. - Act as a liaison between departments to facilitate smooth communication and workflow. Job requirements: - Bachelor’s degree in Business Administration, Management, or a related field. - 2-5 years experience as an Administrative Officer / Assistant in financial industry. - Strong organizational and time-management skills with the ability to multitask effectively. - Excellent written and verbal communication skills in both English, Mandarin and Cantonese. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. - Attention to detail and a high level of accuracy in work output. - Ability to maintain confidentiality and handle sensitive information with discretion. - Strong problem-solving skills and the ability to work independently or as part of a team. - Familiarity with office management procedures and basic accounting principles is a plus. - Flexibility and adaptability to work in a fast-paced and dynamic environment.
